Approvals

Which work goes out on its own and which waits for your OK, the three switches that decide it, and what the approval box in the chat lets you do.

5 min read All plans

An approval means the work waits until you say yes. Going out on its own means it is published as soon as it is ready, or at its time on the calendar, without asking you.

Three switches decide which, one for each kind of work: Articles, Social posts and SEO fixes. They are under Website settings → Approvals: press Agent in the menu, then Settings in the sidebar, and the box opens on Approvals. Under each switch, a line says what happens now.

START HERE Not sure yet? Switch Articles and Social posts off for the first week. Every article and post then waits in its chat, where you can read it, change it and approve it.

The three switches

SWITCHONOFF
Articles Each article goes live on your website as soon as it’s written, or on its day in the calendar. Each article waits for your OK in its chat. Nothing goes live until you approve it.
Social posts Each post goes out on your channels as soon as it’s written, or at its time in the calendar. Each post waits for your OK in its chat. Nothing is posted until you approve it.
SEO fixes Each fix goes live on your pages as soon as it’s ready. Each fix waits for your OK in its chat. Your pages stay as they are until you approve it.

A switch is about the kind of work, not about who did it. Whether the Copywriter, the Social Copywriter, the Page Optimizer, another teammate or QuQi itself made the article, the post or the fix, its switch decides. Articles on lets articles go out on their own; it never lets anyone publish a post.

A new crew starts with Articles and Social posts on and SEO fixes off. Only the website’s owner or an admin can change them; everyone else on the website sees them.

CAREFUL With Articles or Social posts on, connecting a publishing destination or a social account means the next batch publishes without asking you. Switch them off first if you want to read everything before it goes public.

What waits for your OK

With its switch off, the crew, QuQi included, stops and asks before it:

  • publishes an article to your website (Articles),
  • publishes a post to your social channels (Social posts),
  • applies a page fix to your live pages, or undoes one (SEO fixes).

Everything else happens without asking, because nothing leaves QuQi: audits, AI answer checks, keyword research, drafts, pictures, videos, and batches put on the calendar.

GOOD TO KNOW The switches cover what goes out. Deleting is separate: when you ask QuQi to delete an article, a post or a batch, it does it straight away, and a teammate asks first unless the switch for its own kind of work is on. Link trades never wait for a box either: how your website takes part, under Website settings → Backlinks, is your agreement to the exchange.

When the switch counts

At the moment the work is ready to go out, not when it was asked for. Switch Social posts off while a post is being written, and that post waits for your OK too.

Work the crew already put on the clock for a later time is checked again at its time. If its switch is off by then, it does not go out: it comes back to its chat and waits for your OK, keeping its time.

Turning a switch on does not send what is already waiting: answer those boxes yourself. Turning one off does not unpublish anything.

Your own word always counts

A piece of work you ask to see first, “let me see it before it goes out”, waits for your OK even when its switch is on.

Say it for the whole chat, “don’t post anything until I approve”, and everything in that chat that would go out or change your website waits in a box for your yes: posts, articles, page fixes and changes to the calendar or settings, whoever on the crew does them. The panel beside the chat says so, and “go ahead on your own” lifts it. While a step of the plan waits in a box, the plan shows it waiting for your OK; your yes finishes it.

Approve and Post now always send the work, whatever the switch says: they are your own yes. A time you choose yourself is kept the same way.

The approval box

Waiting work appears as a box in the chat, under whoever made it. Its top line says what it is, such as Article · for your yes, and Waiting on you until you answer.

Below that is the work in brief: its picture, its title, where it goes, and one line of facts, such as its length or when it goes out. Edit opens the rest:

  • A post shows on each channel the way that platform shows it, with its picture and when it goes out. You can Edit text, Change picture (from your library or an upload), make a New picture, or Ask the teammate to change it in words.
  • An article shows its cover, title, description, opening and length. Read and edit it opens the full article; Ask the teammate to change it sends your note to its chat.
  • Page fixes show each page with the new wording proposed for each field, to pick from or leave as it is.
  • Anything else opens where you can check it.

Then Approve or Reject. Approve does the thing: it publishes, puts the post on the clock for its time, or applies the fix, and the box shows what came of it. Reject does nothing and leaves the work where it is. While a change you asked for is still landing, Approve waits for it.

CAREFUL Approve is public. A post goes to the live channel and an article to your live website, with no second confirmation.

Once answered, the box says Approved or Rejected, who answered, and the outcome: “Published.” or “Scheduled for Thu 8 Oct, 09:00.” If the approval went through but the publishing did not, it says Approved, but it did not go through, with the reason. Each box is answered once.

If the work goes out another way first, with Post now or at its time, its box closes by itself: there is nothing left to approve.

Who can answer

Anyone who could make the change themselves: editors, admins and the owner. A viewer sees the box but cannot answer it.

Where to find what is waiting

  • Waiting for your OK at the top of the chat sidebar, with a count. It takes you to the newest one.
  • The chat row, which reads Waiting for your OK instead of the last message.
  • The teammate’s own page, where its waiting work is listed first.
  • The calendar, where a batch that made something waiting reads Waiting for you.
  • An email for an article or a post, and on Telegram or WhatsApp the post itself with Approve and Reject. See Notifications.

Waiting work does not expire. It stays in the chat until you answer it.
