Chats and hand-offs
Where your crew does its work: a chat for every task and every batch, what the sidebar shows, how to talk to a teammate, and how teammates hand work to each other.
Everything the crew does happens in a chat you can read. A task you give, a batch from the calendar, a question one teammate asks another: each is a conversation with whoever is doing the work, showing its plan, each step it takes, and what it made.
Two ways in
- Agent in the menu opens the full chat page, with your crew, your chats and the work waiting for you.
- Ask QuQi in the top bar opens a side panel on every page (⌘J): a quick chat with the lead about the website you are on. Open full screen in Tasks moves the conversation to the chat page.
The chat page
- At the top, Waiting for your OK appears with a count whenever something needs your answer, followed by links to the Dashboard, the Calendar, Integrations and Website settings.
- The crew is a row of faces. Each one says what that teammate is doing: on a task, last worked a while ago, or free for a task. Click a face to open that teammate.
- Chats lists your tasks, newest first, grouped by Today, Yesterday, the previous 7 days and older. Each row shows the face of whoever has it and the latest line, or Working on it…, or Waiting for your OK. Every batch run and every piece of waiting work is listed for everyone on the website.
- The Workspace panel beside a chat shows who has it, what waits for your OK, the plan for the task, what was made in this chat, and what is running in the background.
Talking to a teammate
A new chat is with QuQi, the lead. To give the task to someone else, pick them from Who does this task before you send, or open a teammate and write to it there. In a chat that has already started, the same menu reads Hand this chat to.
Write the way you would to a colleague. Ask for a result, not a procedure: the teammate works out the steps, uses its tools, and asks you when something needs your OK.
A chat for every batch
Each time a calendar batch comes round, it opens a new chat named after the batch and the day. You can watch it work, read the report afterwards, or write into it to ask for a change. The batch on the calendar links to the same chat.
Hand-offs
A teammate can see the crew and ask another teammate for anything outside its own job. When it does, your chat shows Asked and the teammate’s name, with On it now. Their report comes back to this chat. The other teammate works in a chat of its own, which Their chat opens.
When it is done, its report appears in the chat that asked, under its own face, marked as reported back. If what came back needs your OK — a post with its picture, say — the approval box appears in both chats. It is one approval: answering either one answers both.
A teammate cannot ask itself or a teammate that is switched off. A teammate answering someone else’s request does its part and says who should do the rest, rather than passing the request on again.
Long work reports back
Writing an article or a set of posts takes a few minutes. You do not have to keep the chat open: when the work ends, the chat says the teammate finished the work (or could not finish it), followed by the teammate’s own word on what came of it.
Who can write where
Anyone on the website can read the crew’s chats. Writing in a chat you did not start needs editor access or above, and handing a chat to someone else works on your own chats. Only the person a chat belongs to can rename or delete it. Delete task removes the chat and its conversation; anything it made stays in QuQi.
